Mobile Manager Overview

What is Mobile Manager? 

Mobile Manager is a software application for retailers who use the QuickBooks Point of Sale program.  Mobile Manager software runs on wireless mobile devices and interacts with the pos program real time.  This design allows modification to the pos database from anywhere within the store covered by the wireless network or from anywhere in the world using a smart phone and the cellular data network.

The pocket pc equipped with a wireless network card can connect to your database using a wireless access point.  If you do not have a wireless access point in your facility you can purchase one at any local computer store.  They are inexpensive and easy to install.

Our recommended handheld device comes with a built in scanner so merchandise to be reviewed, changed or added to the system is easily scanned for accurate input to the pos database.  Below is a diagram our basic configuration.

 

What network components are required? 

Whether you have an existing network or are creating a new one from scratch it's easy to add Mobile Manager to your store.   Below is a list of components that are required to successfully implement the Mobile Manager software at your business.

POS Computer - A computer running Quickbooks Point of Sale with an Ethernet card installed
Network - Requires a network hub, router or switch
Access point - A wireless access point is also required
Connection - Connect the POS computer to the network, connect the wireless access point and then connect the pocket pc to the wireless network

Note: Users should use Category 5 ethernet cable or higher to make the physical connections between the POS computer, access point and network device. Once you have the above components you are ready to get connected wirelessly in your store!


What do the modules do? 

Mobile Manager is comprised of a number of software modules.  The standard software suite consists of these modules: Item maintenance, Purchase, Receiving, Wall to Wall inventory and Customer Maintenance.  For users that need to sell merchandise on a handheld device we also offer work orders and sales receipts modules. These modules are sold separately or as part of a premium software package.  Users start by selecting a module from the module selection screen shown below. 

Standard modules 

 

Item Maintenance - Change the attributes of any item.  Allows users to display item attributes.  Easily perform shelf audits, check prices, print new tags, etc.  If you find an item that is not in file,  you can easily add it with the Pocket PC.  Lookup items by UPC, Quickbooks item number or ALU.

Purchasing - Create orders for merchandise on the Pocket PC.  Scan bar code shelf labels or product labels and quickly add items to your order from anywhere.  Using the bar code scanner, users can lookup items by UPC, Quickbooks item number or ALU.  Scan the label, enter a quantity and add it to your order.   The order is automatically created for you in the POS system when you are finished so there's no redundant data entry.  

Receiving - Instead of dragging merchandise to the pos register, users can take the handheld device to the back room or receiving dock and scan merchandise into inventory.  Simply select the PO you want to receive, scan a bar code and enter the quantity received.  It's easy to keep your inventory accurate when you have the right tools.

Inventory - Business owners need flexibility in their inventory process.  You may need to perform a wall to wall inventory annually but there are high dollar items you would like to keep track of on a more frequent basis.  Our approach to the inventory process allows users to perform a quick inventory on a single item, inventory store sections or departments or perform a complete wall to wall inventory.  The best part?  Users can perform ALL of the above tasks while the store is open for business!   

Customers - Add users to your Point of Sale system in real time.  Update users address information, email, phone numbers etc.  If the customer is not in file you can easily add them on the spot.  This module also allows customer selection for the premium modules, the sales and work order modules. 

Premium modules 

 

Sales - Use this module if you need to perform sales transactions in real time with the point of sale system.  Scan and lookup items, add customer information for billing, add shipping, etc.  This module allows users to broker complete transactions including payment types: cash, check, charge or credit card(approvals done via Intuit Merchant Services using our MMCardclient product).  Use a belt printer to print a receipt, use digital signature to capture customer signature or email receipts....or all of the above.  Works great for mobile sales, side walk sales, line buster for busy seasons, or for any sales transaction that you would like to complete without dragging the merchandise to the register.

Work Orders - Create work orders for projects that won't be completed initially.  Add items, give quotes, and keep track of the customers order as it progresses.  Allows users to take deposits to begin work, add items throughout the work process and finally totals the order for customer payment.  At the conclusion of the work order process the work order is closed and a sales receipt is added.  Works great for users in the service industry or for any user that needs to fulfill an order over time.

What are the benefits? 

There are many benefits related to using a portable device in conjunction with your point of sale system.  Inventory accuracy is dramatically improved.  When you have the right tool to purchase and receive products you can easily implement a process to ensure items are added and removed from your business with the appropriate documentation.  Makes the cashiers life easier because everything that is brought to the register will scan.  Makes performing the most common retailer tasks more convenient because you take the device to the location most appropriate to the activity instead of dragging things through your store to a computer.  Saves time.  All transactions are applied in real time so you never have to enter the same data twice.   Makes performing inventories practical because you have the right tool to perform the task.  Makes price changes a breeze with the scanning and tag printing ability.  The list goes on and on.  Once you have tried our software solution you will wonder how you ever lived without it!
